Privacy Policy
Last updated: June 2026
1. Introduction
PACMAN Software ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services. By accessing or using PACMAN Software, you agree to the terms of this Privacy Policy. If you do not agree with these terms, please do not use our services.
2. Information We Collect
We may collect the following types of information:
- Personal Information: When you register your company with PACMAN Software, we collect personal details such as your name, email address, phone number, and company information.
- Usage Data: We collect information about your interactions with our platform, including log files, usage patterns, and analytics data.
- Google Account Data: If you choose to connect your Gmail account, we access certain data from your Google account as described in Section 5 below.
3. Use of Information
We use the collected information to:
- Provide and Manage Services: Facilitate account creation, manage subscriptions, and deliver the features of PACMAN Software.
- Improve User Experience: Analyze usage patterns to enhance our platform's functionality and user interface.
- Communicate with You: Send administrative information, respond to inquiries, and provide customer support.
4. Disclosure of Information
We may disclose your information in the following circumstances:
- Legal Obligations: If required by law or in response to valid requests by public authorities.
- Business Transfers: In connection with any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
- Service Providers: We may share information with trusted third-party vendors who assist us in operating our platform, subject to confidentiality agreements. We do not sell your personal data to third parties.
5. Google API Services and Gmail Integration
PACMAN Software offers an optional Gmail integration that allows users to read, send, and manage emails directly within the platform. This section explains how we handle data obtained through Google APIs.
What we access: When you connect your Gmail account, PACMAN Software requests access to:
- Read your email messages and metadata (sender, recipient, subject, date)
- Send emails on your behalf
- Read your email address to identify your connected account
How we use this data: Gmail data is used solely to display your inbox within the PACMAN platform, allow you to send and reply to emails, and optionally attach emails to insurance claims you are managing. We do not use Gmail data for advertising, profiling, or any purpose unrelated to providing the in-app email feature.
Storage: We do not permanently store the content of your email messages on our servers. Email content is fetched in real time from Google's servers when you view it. Email metadata (such as subject and sender) may be stored only when you explicitly attach an email to a claim in order to link it to your claim records.
Data sharing: We do not share, sell, transfer, or disclose Gmail data to third parties, except as necessary to provide the service (e.g., displaying the email within the platform) or as required by law.
Revoking access: You can disconnect your Gmail account at any time from the Mail settings within PACMAN Software. You may also revoke access directly from your Google Account permissions page. Upon disconnection, we will no longer access your Gmail data.
Google API Services User Data Policy: Our use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements.
6. Data Security
We implement industry-standard security measures to protect your personal information, including OAuth 2.0 for Google authentication and encrypted storage of access tokens. However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.
7. Data Retention
We retain your personal account data for as long as your account is active or as needed to provide services. If you close your account, we will delete or anonymize your personal information within 90 days, unless retention is required by law. Email content accessed via Gmail is not retained beyond the active session, except for metadata explicitly saved when you link an email to a claim.
8. Your Data Protection Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access: The right to request copies of your personal data.
- Rectification: The right to request correction of any information you believe is inaccurate or incomplete.
